Deck inspection notes to keep before requesting repair quotes

Guides
A homeowner’s deck condition notebook with labelled photos and a simple sketch, damaged area shown only from a safe distance

A repair quotation is more useful when the contractor can understand what changed and where. A homeowner’s condition record should document observations, not diagnose hidden structural problems. Keep the description clear enough that several professionals can discuss the same concern.

Use a simple location system

Label areas on a sketch: steps, outer edge, house connection and individual visible concerns. Take an overview photograph followed by closer images from a safe position. Include dates and avoid entering an area that appears unstable.

Record movement, loose components, damaged surfaces or persistent wet locations in ordinary terms. “This corner moves when used” is a report; a claim about the failed component requires assessment.

Item Include Avoid
Location A sketch reference and overview photo An isolated close-up with no context
Change What is new or worsening A confident hidden-cause diagnosis
History Known repairs and relevant dates Guessing about work you cannot verify
Use How the concern affects access Continuing to test a suspect area repeatedly

Ask what must be assessed first

If structural condition is uncertain, the first task may be an inspection rather than a fixed-price cosmetic repair. Ask who is qualified to assess it and whether the deck should remain in use. Do not treat a new surface board as an automatic solution to movement beneath it.

Make access and any restrictions clear before a site visit. Share relevant drawings or product records if available, while marking missing information honestly. An unknown detail should lead to a question, not an invented answer.

  • Take dated photographs from safe positions.
  • Keep observations separate from explanations.
  • Provide records of earlier work where available.
  • Ask for the proposed cause, scope and exclusions in writing.

Compare repair scopes before totals

One quote may address visible finish while another includes investigation, structural work or approvals. Ask each contractor to explain what their price assumes. Similar totals do not mean identical outcomes.

At completion, keep the agreed scope, changes and relevant handover information with the original condition notes. The before-and-after record can help identify future changes without relying on memory.

Questions and answers

Can photographs replace a site assessment?

Not for every concern. They help communicate location and history, but hidden conditions and structural suitability may require professional inspection.

Should I keep testing a loose area for a better video?

No. Do not repeatedly load or enter an area that may be unsafe. Describe the observation and seek qualified advice.

Is the cheapest repair quote the best comparison?

Only after scopes and assumptions are understood. A cosmetic fix and a structural repair are different proposals.
